Terms and Conditions

By booking a Camptopia Experiences Package through Camptopia.hk or via a private booking link provided by Camptopia Limited or its affiliated partners, you (the Guest, also referred to as the Organiser) agree to the following terms:

1. Experience Package

1.1 Your Camptopia Experiences Package details, including venue, services, and merchandise, are confirmed at the time of booking.

1.2 Any requested changes must be submitted at least 3 weeks prior to the event date, subject to availability and approval.

2. Payment Terms

2.1 Payment Schedule:

• Total Package HK$10,000 or below: 100% full payment is required at the time of booking to confirm the reservation.
• Total Package above HK$10,000: A non-refundable deposit of 50% of the total package price is required at the time of booking. The remaining 50% balance will be invoiced prior to the event.

2.2 Balance Payment: Where a balance is due, payment must be made within 7 days of the invoice date, or no later than 3 business days prior to the event date, whichever is earlier.

2.3 Security Deposit: A security deposit (amount and due date as specified in the Agreement; typically HK$10,000) is due 14 days before the event. This is refundable within 14 business days after the event, subject to a satisfactory site inspection and deduction of any reinstatement costs.

2.4 Accepted Payments: FPS, bank transfer, or credit card.

2.5 Non-Payment: Camptopia reserves the right to cancel the booking and forfeit the deposit/payment if funds are not received by the due date.

3. Participant Registration

3.1 All participants must register online via the Camptopia.hk registration link provided.

3.2 Each participant will receive a unique order number to present at check-in.

4. Cancellation & Refund Policy

• 4.1 60+ days prior: 75% refund of total fees paid.
• 4.2 30–59 days prior: 50% refund of total fees paid.
• 4.3 Less than 30 days prior: No refund.
• 4.4 Within 7 days: No refund. Rescheduling within 3 months may be offered at Camptopia’s sole discretion.
• 4.5 Weather (Typhoon No.8 / Black Rainstorm): Reschedule within 3 months, subject to availability.

5. Force Majeure

5.1 Camptopia Limited is not liable for delays or failures due to force majeure events.

6. Venue Use & Responsibilities

6.1 Guest/Organiser must return venue in original condition.

6.2 Equipment, décor, garbage must be removed by handover time.

6.3 Damage charges apply to Guest/Organiser and will be deducted from the Security Deposit or invoiced separately.

6.4 Overtime use may incur charges.

6.5 Guest/Organiser is responsible for attendee conduct and safety.

6.6 Equipment misuse or unauthorized use may result in fines or charges; no refunds for violations.

6.7 Guests must not move large equipment without staff approval.

7. Add-Ons & Optional Services

7.1 Must be confirmed and paid 14 days before event.

7.2 Late changes may incur fees.

8. Liability & Indemnity

8.1 Guest/Organiser indemnifies Camptopia Limited and partners for any claims or damages.

8.2 Camptopia is not liable for personal injury, illness, theft, or property damage.

8.3 Event insurance is strongly advised.

9. Insurance Requirement

9.1 Liability insurance may be required; Camptopia may request proof of Third Party Liability insurance before the event.

10. Maximum Occupancy

10.1 Attendee number must not exceed venue capacity. Breach may result in event termination and deposit forfeiture.

11. Prohibited Activities

• 11.1 Illegal or dangerous activities.
• 11.2 Unauthorized open flames, fireworks, smoke machines, drones.
• 11.3 Smoking in non-smoking areas.
• 11.4 Unapproved alcohol or catering.

12. Cleaning & Restoration

12.1 Cleaning fees apply if venue is not returned clean.

13. Photography & Promotion

13.1 Camptopia may photograph or record events for promotion unless opted out in writing before event.

14. Dispute Resolution & Governing Law

14.1 This Agreement is governed by the laws of the Hong Kong SAR.

14.2 Any dispute arising out of this Agreement shall be subject to the exclusive jurisdiction of the courts of Hong Kong.

15. Entire Agreement

15.1 This agreement supersedes all prior communications.

16. Amendments

16.1 Changes must be in writing and signed by both parties.

17. Severability

17.1 If any clause is invalid, the rest remain in force.
